CSCS TXPOSITION SUMMARY:
We are seeking an experienced, detail-obsessed Technology Program Coordinator as a key leader role in our new IT Program Office – the central nervous system of our Technology organization. This high-impact, high-visibility role keeps dozens of concurrent technology projects, budgets, procurements, and executive communications perfectly aligned and transparent. You will assist in providing the “single source of truth” for everything the Technology leadership team needs to steer the ship: portfolio health, financials, procurement status, metrics, and governance. If you excel at turning chaos into clarity, love chasing down answers diplomatically, and can translate complex data into compelling executive stories, this is your role.
ESSENTIAL DUTIES:
Maintain real-time visibility into 50–150 active technology initiatives (infrastructure, software, cloud, security, digital transformation, etc.) via dashboards and weekly status reporting.
Provide updates for budget tracking: forecast vs. actuals, variance analysis.
Lead technology procurement team: Lead two-person team that creates requisitions, tracks orders through receipt and deployment, and maintains the asset register.
Produce executive-ready monthly and quarterly portfolio reviews (PowerPoint decks, scorecards, financial summaries) for the CIO/CTO, and Technology Steering Committee.
Plan and facilitate critical meetings and events: Technology Governance Board, Architecture Reviews, QBRs, vendor days, annual planning off-sites, and technology all-hands.
Enforce stage-gate governance; ensure every project has required approvals, business cases, and benefits tracking.
Track and report on project outcomes: ROI, benefits realization, KPIs, OKRs, and operational metrics.
Administer Smartsheet, Celoxis and other tracking tools.
Mentor junior coordinators and act as the go-to expert for process, tools, and reporting standards.
Identify and implement process improvements in budgeting, intake, procurement, and reporting workflows.
KNOWLEDGE, SKILLS, AND ABILITIES:
5+ years in executive administration, technology program coordination, IT business management, or portfolio support roles.
1+ year(s) leading a small team of individuals.
Proven ownership of multi-million-dollar technology budgets and procurement cycles.
Proficiency in PM/portfolio tools (Workday Projects, Azure DevOps, Smartsheet, etc.) highly desirable.
Solid financial acumen – comfortable with Excel and collecting data for financial reporting
Exceptional communication; able to brief Technology leaders clearly and confidently.
Expert-level PowerPoint and Excel/Power BI skills for storytelling with data.
Demonstrated ability to influence without authority and drive accountability across teams.
EDUCATION, EXPERIENCE, AND OTHER REQUIREMENTS:
Bachelor’s degree or equivalent experience.
PMP, PgMP, ITIL, Agile certification a plus.
Experience with Excel, Smartsheet, Workday, or other IT Financial Management and project management tools a strong plus.
Prior event-planning or executive-support experience.
CERTIFICATIONS, LICENSURES, AND LANGUAGE SKILLS (If needed):
PMP, PgMP, ITIL, Agile certification or equivalent experience a plus.
