
Facilities Supervisor

CSCS TXThis role leads and supports all facilities analyst functions while ensuring efficient, high-quality Work Order operations. It monitors key performance metrics, identifies trends or gaps, and drives continuous improvement through coaching and process refinement. The role serves as the first point of escalation, maintains oversight of high-priority Work Orders, and ensures timely, clear communication with all stakeholders. It promotes collaboration across Field teams, Vendors, and cross-functional partners, representing the team in alignment meetings and updating process documentation as needed. Through consistent oversight and feedback, this role reinforces SLA compliance, documentation standards, and operational excellence.
Roles & Responsibilities
Performance Monitoring & Operational Oversight
Perform all core duties associated with the facilities analyst role, as needed, to support business continuity.
Monitor operational performance metrics at a high level (e.g., work order volume, cycle time, completion trends, and change order activity).
Identify trends, risks, and recurring issues that impact productivity, service levels, or financial outcomes.
Provide coaching, guidance, and performance feedback to Specialists and Coordinators to support consistent execution and development.
Maintain oversight of active and high-priority work orders to ensure visibility, timely resolution, and appropriate escalation.
Serve as the first point of escalation for operational issues requiring decision-making or cross-functional alignment.
Escalate systemic challenges to leadership with clear insights and recommended solutions.
Promote proactive, timely communication across Specialists, Coordinators, Field teams, Vendors, and internal partners.
Represent the team in cross-functional meetings related to workflow alignment, process changes, or upcoming transitions.
Support ongoing process refinement by ensuring updates to procedures and documentation are captured and communicated.
Partner with leadership to reinforce operational discipline, quality control, and consistent communication practices.
Lead regular team touchpoints, including reviews of aging or high-risk work orders.
Training, Process Improvement & Culture
Foster a culture of ownership, accountability, collaboration, and professionalism.
Recognize team contributions and maintain an open, supportive leadership approach while holding performance standards.
Support onboarding and ongoing training for Specialists and Coordinators.
Qualifications & Requirements
Minimum 3 years of experience in facilities operations, repair and maintenance, or a related field
Proven ability to provide constructive feedback, coaching, and performance guidance to team members.
Experience collaborating cross-functionally with field teams, vendors, and internal stakeholders.
Strong written and verbal communication skills, with an emphasis on clear documentation and timely updates.
Organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.
Ability to adapt to changing priorities, processes, and business needs.
Proficiency with work order systems, reporting tools, and standard business applications (e.g., Excel, Teams, Ivanti, or similar platforms).
